Will I work with the same person throughout my project?
Yes. You will have direct communication with the same person from start to finish. No handoffs, no junior staff, no outsourced teams.
Can I send a video or Loom to explain my project?
Absolutely. During the intake process you can upload a video walkthrough, share a Loom link, or provide written step-by-step instructions. One clear walkthrough is all we need.
What platforms and tools do you work with?

If your platform is new to us, we are fully trainable. Send a Loom video or a written walkthrough and we will take it from there.
Is my data secure?
Absolutely. Your data is handled with strict confidentiality. Files are kept private and access is fully revoked after every project delivery. Your information is never shared, sold, or used for any purpose outside of your project.
Do you sign NDAs?

What is the difference between Manual Data Entry, Data Migration Support, and Website Content Transfer?
Manual Data Entry is for building or organizing data from scratch — entering records into a system, cleaning up spreadsheets, or managing large volumes of information that require careful handling.
Data Migration Support is for moving existing data from one system to another — preparing, formatting, and validating records so they are correctly imported into the destination platform.
Website Content Transfer is for moving the content of an existing website to a new platform — text, images, files, and page structure are transferred accurately without losing anything in the move.
What types of data do you handle?
Spreadsheets, CRM records, client and patient profiles, course content, product listings, inventory data, website content, PDFs and scanned documents, internal databases, and more. If you are unsure, submit your files for review and we will let you know.
Do you perform the actual system migration or just the data side?
We handle the data side only — preparation, formatting, cleanup, and validation. We do not perform system configuration or software development. We work closely with your IT team or software provider to make sure the data meets their requirements.
Can you clean up files created by someone else?
Yes. Most cleanup projects involve inherited files, data created by previous staff, or exports from systems with no consistent structure. We restore order without losing important information.
Do you offer ongoing support after a project is complete?
Yes. Ongoing support is available in monthly or quarterly packages starting at $250. This is ideal for teams that need consistent data upkeep without starting a new project each time.
Can you work with confidential or HIPAA-sensitive data?
Yes. If your project involves HIPAA-sensitive or otherwise confidential data, let us know upfront so we can ensure the appropriate handling protocols are in place.
Can you work with a platform or system you have not used before?

We review your submission within one to three business days. If we need clarification we will follow up before providing a quote. Once the scope is confirmed, you will receive a proposal and a deposit invoice to secure your start date.

Will I receive a contract before work begins?
Yes. Every project begins with a signed agreement outlining the scope, timeline, deliverables, and payment terms. No work starts until everything is confirmed in writing.

How much does it cost?
Projects start at a $400 minimum. Ongoing monthly support starts at $250. Every project is quoted individually based on scope, complexity, and timeline. You will receive a clear quote before any work begins — no hidden fees, no surprises.

We quote by project based on the volume of data, complexity of the work, platform requirements, and turnaround time. Ongoing support is available in monthly or quarterly packages. Submit your intake form, and we will send a personalized quote.
How do I pay?
You will receive a secure invoice with payment instructions once your project scope is confirmed. We accept payments through secure online methods.
How do payments work?
Most projects require a non-refundable deposit to secure your start date. Final payment is due before final deliverables are handed over unless otherwise agreed in writing. Do you offer rush or expedited services?
Yes, on a limited basis. Rush availability depends on current workload. If you have a tight deadline, let us know in your intake form and we will do our best to accommodate.

🚫 Cancellation Policy
What is your cancellation policy?
You may cancel in writing at any time. The initial deposit is non-refundable. Any completed work will still be billed. Cancellation after project kickoff may incur charges based on progress.
Do you offer refunds?
Because each project is custom and time sensitive, we do not offer refunds once work has started. If you cancel before the project begins, your deposit remains non-refundable. Partial refunds may be considered at our discretion in unique circumstances but are not guaranteed.
🧹 Data Cleanup and Formatting
Do you clean up duplicates and validate data?
Yes. Duplicates are reviewed and removed intentionally, not automatically. We assess records carefully to avoid deleting valid entries, especially when data appears similar but is not identical.
Do you format data as part of the cleanup process?
Yes. Formatting is included in our data cleanup service. This covers standardizing fields, fixing inconsistent capitalization, aligning date formats, correcting number formatting, and restructuring files so they are consistent and ready to use.
What if my data has no consistent structure or formatting at all?
That is one of the most common situations we work with. We assess what exists, establish a consistent structure based on your needs, and apply it across the entire dataset. You do not need to have it figured out before you reach out.
Can you reformat data to meet a specific system import requirements?
Yes. If your destination system has specific formatting rules such as column names, date formats, field types, or character limits, let us know in the intake form and we will format the data to match before delivery.
Can you help clean up old or messy spreadsheets?
Yes. We work with spreadsheets that are disorganized, inconsistent, or built without a clear structure. We clean, reorganize, and standardize them so they are functional and easy to manage going forward.
Will I know what changes were made?
Yes. Upon request we can provide a brief summary outlining the cleanup rules applied and the types of corrections made. This helps your team understand how the data was standardized going forward.

How do I send my files?
We accept files via Google Drive, Dropbox, WeTransfer, or other secure cloud-sharing tools. We will provide clear instructions once the project is confirmed.
How long do projects take?
Timelines vary by project. Simple tasks may be completed in a few business days. Larger or more complex projects may take several weeks. You will receive a clear estimated timeline after your intake form is reviewed.
What format will my files be delivered in?
Files are delivered in editable formats unless otherwise requested. If you need a specific format for import into a system, let us know in the intake form and we will match those requirements.

Do projects include revisions?
Yes. One revision is included with every project. Additional revisions or scope changes may incur extra fees, which will be discussed before any further work is done.
What if something needs to be changed after delivery?
Reach out and we will assess the change. Minor edits within the original scope are covered by the included revision. Anything outside the original scope will be reviewed and quoted separately.
